Part Time Administrative Assistant for the Office of Clergy Excellence


Office of Clergy Excellence Duties:           

  • Responsible for supporting the Director and Assistant to Director in the Office of Clergy Excellence
  • Scanning and filing documents for all eight districts, as well as the Office of Clergy Excellence
  • Supports Director and Assistant to Director by preparing documents and other materials (folders, binders, name tags, etc.) for various meetings/events
  • Supports the Office with various meetings/events, including hospitality
  • Web page design and maintenance
  • Manage correspondence and files for both clergy and candidate, maintaining files with accuracy
  • Uploading of application material, verifying and summarizing material before each District Committee meeting
  • Act as support and backup for Registrar for District Committee meetings
  • Other duties may be assigned as needed

Shade and Fresh Water Duties:
  • Completes identified tasks (see below) under the direct supervision of the “Co-Chairs” of the Board of Directors of the Shade and Fresh Water ministry
  • Not a voting member, but is asked to attend/join board meetings or executive committee meetings either face to face or via telecom, as well as take notes
  • Distributes electronically the agendas and minutes of meetings
  • Some travel and overnight stay, particularly around the support of the Annual Conference, or large retreats
  • Maintain accurate and accessible files of all business-related correspondence and records of the work of SFW
  • Assists in securing a booth for Annual Conference, as well as manning the table during some of the scheduled hours of operation along with other members of the committee
  • Prepares handouts for Conference and other events for Covenant Group Retreats and Healing Spaces
  • Contacts people who expressed interest in a Retreats, confirming dates, places, prices, etc. 
  • Keeps a list of availability of Spiritual Directors for Covenant Group Retreats in the coming year
  • Requests Honorariums for those who participate as Spiritual Directors in these retreats
  • Maintains the following email account:

  • Previous administrative experience
  • High school diploma is required with a preference for appropriate certification or some college coursework
  • Proficiency in Microsoft Office products such as Word and Excel
  • Excellent written, oral and auditory communication skills
  • Capable of handling confidential material and issues appropriately
  • Self-starter with the ability to work independently or as a contributing part of a team
  • Strong attention to detail
  • Ability to prioritize and meet deadlines

Working Conditions:
  • Spends over 70% of time sitting; remainder of time includes walking, standing;
  • occasional lifting (5 - 10 lbs.) and climbing stairs
  • Constant interaction with internal and external third parties for the purpose of collecting and distributing information
  • Occasional travel to attend and or support meetings or events

Position Relationships:
  • Must work cooperatively with staff at the Conference office.
  • Position is supervised by the Assistant to Director
