Disaster Recovery Grants and Finance Associate

Essential Job Requirements:

  • a background in Accounting, Finance or Bookkeeping is preferred 
  • minimum 3 years experience in office administrative work required
  • Associate Degree or equivalent required
  • Federal Grant training and experience preferred but not required
  • Active membership in a United Methodist Church is preferred but not required
 
Essential Job Functions
  • Under the guidance of the Grants Coordinator and Financial Services Controller, support the financial and administrative needs of disaster recovery, including but not limited to:
    • Weekly management of Lowe’s and Home Depot invoices
    • Monthly:
      • Payment and reconciliation of all Construction Accounts and vendor invoices
      • Reconciling Finance’s reports with Disaster Recovery’s financial tracking mechanisms for accuracy
      • Staff reimbursement paperwork, including Concur reports and data entry once reports are finalized.
      • Donations: remittance reports and financial tracking
    • Assistance with:
      • Managing incoming invoices for all disaster responses
      • Reimbursable grants and timely filing of invoices and paperwork
      • Assist in the organization and maintenance of all financial, statistical and client files for audits
      • Organizing tasks/project management through online programs
  • General administrative responsibilities, including managing online files, volunteer and donor correspondence, data input as needed to maintain recovery databases, scheduling, internet research, google maps, etc.
  • Design reports and spreadsheets as needed to support recovery operation
  • Other duties as assigned
 
Working Conditions:
  • Constant interaction with internal and external third parties for the purpose of collecting and distributing information
  • Adaptability to environmental factors, including noises, odors, variable climate, etc.
  • Spends over 80% of time sitting; remainder of time includes walking, standing
  • Occasional lifting (5 - 10 lbs.) and climbing stairs
  • Must work cooperatively and collaboratively with colleagues, clients and other agencies involved in the recovery
