Administrative Treasurer

Emmanuel United Methodist church of Melbourne looking for full time administrative treasurer. 
Reports to:  Senior Pastor
Required Skills:

  • Proficient in the use of Microsoft Office applications (e.g., Word, Excel, Outlook)
  • Proficient in the use of QuickBooks related to bookkeeping functions at a minimum
  • Typing (minimum of 60 wpm)
  • Good Communicator (verbally and written)
  • Ability to lift and move boxes up to twenty pounds
Principal Duties:
Assisting Pastor
  • Assist pastor with coordinating special services (e.g., funerals, weddings)
  • Assist senior pastor with organizing, delegating, and following up on tasks as needed
  • Identify ways to utilize campus as fundraising opportunities
  • Interfacing with District Office
  1. Preparing reports as needed according to the District Office schedule (e.g., Charge Conference, End of Year Reports)
  2. Downloading apportionment, insurance, and pension documents and making the proper payments in a timely fashion
  3. Missional Vital signs reporting
  4. Collect, print & distribute information for charge conference
Church Office Duties
  • Create Church Bulletin and other printed materials (e.g., Connect Cards, flyers)
  • Create a digital monthly newsletter using Mail Chimp (or equivalent)
  • Communicate appropriate membership information to Membership Secretary (e.g., new members, deaths)
  • Serve as a reception contact for volunteers, members, and visitors
  • Answer telephone calls and direct to appropriate staff member
  • Ensure that all outgoing correspondence is mailed
  • Review invoices for accuracy
  • Order all office supplies, paper, toner, etc.
  • Assist trustees with obtaining quotes for work
Manage Church Database (e.g., Shepherd’s Staff)
  • Update member info when necessary
  • Add new contacts to the database when Connect Cards indicate “First or Second Time Visitor”
  • Update database with giving information as it becomes available from the Finance Committee
  • Run reports for the pastor and committees when needed
Manage Membership Giving
  • Tally stewardship pledges and report to the Pastor and Finance Committee Chair for planning purposes
  • Reconcile bank statements against deposit report; discrepancies shall be reported immediately to the Pastor and Finance Committee Chair
  • Provide weekly summary reports to the Pastor and Finance Committee Chair related to projected expenses, weekly deposit, and current bank balance
  • Provides membership giving reports as directed by the Finance Committee Chair
  • Keeps detailed records of all financial transactions
  • Participates in financial audits as needed
  • Receive invoices and send payments in a timely fashion
  • Prepare and print checks as needed (e.g., for bills, reimbursements)
  • Other duties as assigned
