Part Time Administrator Position


River of Life United Methodist Church is looking for a Part Time Administrator to join our team and help us reach our community. 

The Church Office Administrator provides business and operational support to church staff, church leadership, and church committees. The Church Administrator will coordinate church finances, property and office. He/she will also maintain church personnel records. As part of the Church leadership, this person should be an active follower of Jesus Christ. This position reports to the Senior Pastor and is also responsible to the Staff Parish Relations Committee. Must continuously demonstrate the ability to maintain discretion and confidentiality in handling sensitive issues in all church matters. This position will be responsible for;
− Working part-time, averaging 20 hours per week.
− Maintaining regular office hours as set by the senior pastor.
− Serve as recording secretary at monthly Church Administrative Council meetings. These are typically night-time meetings. Schedule adjustment for these meetings to be arranged with Senior Pastor.

The job functions listed below are representative of the areas of responsibility but are not exhaustive. There may be other duties as assigned from time-to-time by the Pastor. Office Management:
− Administer Church Membership Database (Breeze) and maintain church membership records.
− With Staff Parish Relations committee, maintain church personnel records.
− Administer and track church attendance records.
− Administer Missional Vital Signs (MVS) and other reports required by Florida Conference and for use by Pastor, District and others in various reports.
− Customary and general office duties; (administer mail, monitor email, answer phones, maintain appropriate level of office supplies, etc.)
− Coordinate office volunteer activities. With Pastor, determine priorities and duties that can be assigned to volunteers.
− Administer passwords for ROL websites and maintain list of online subscription services for ministry. All to be shared with the Pastor and staff. Finance/Book Keeping
− Prepare and oversee EFT and check requests. Distribute / mail signed checks.
− Maintain payment schedule for regular billing.
− Administer payroll.
− Maintain Quickbooks Online with coordination from Finance team.
− Perform additional tasks as requested by the Finance Team. Communication
− Maintain church calendar. − Develop & print bulletin for weekly worship services.
− Work with committee members to develop communications for social media postings, bulletins, and newsletters.

Property Management
− With Trustees, coordinate church building warranties and repairs.
− With Trustees, coordinate contracts and assist with risk management evaluations.
− With Trustees, coordinate parsonage warranties and repairs.
− With Trustees, coordinate church office equipment rentals and repairs.
− Maintain and manage church facility usage calendar.

Perform other projects and responsibilities as assigned by the Pastor. Identify backups for various duties to ensure smooth operations in times of absence.

Education and Skill Requirements It is expected that candidates for this position will possess;
− Minimum 2 years of office management and/or book-keeping experience.
− Quickbooks knowledge and experience is required.
− Computer skills, including experience with a personnel/vendor/membership database, and Microsoft Office; Publisher, Word and Excel.
− Excellent organizational skills.
− Pass the standard church background check.
− Excellent verbal and written communication skills.
− Strong inter-personal skills.
− Able to self-manage and work with minimal supervision.
− Ability to manage multiple projects simultaneously and be open to flexible priorities.
− Update church social media sites with appropriate information.
− Coordinate with teams to update and maintain website and ensure information is current.
− Coordinate, compile and prepare Church Conference Packages
− Maintain and update church information on Conference and EZRA websites
− Compile and organize all meeting minutes
− Keep prayer list up to date
− New visitor follow-up in conjunction with the Pastor
− Organize and prepare church mailings
− Coordinate and track scheduling and communication for weddings, funerals, baptisms, etc.
− Work with volunteers to ensure sanctuary is prepared for Sunday Service
