ADMINISTRATIVE ASSISTANT
 
Job Description:
 This is a front office position and the first person the public has contact with when entering or calling the church.  The Admin Assistant is responsible for church office management and all clerical duties for the church and the Pastor.  Admin is responsible for assisting various church committees and projects with some clerical and distribution duties.  Must be able to maintain a warm, friendly and knowledgeable attitude at all times.  Reports directly to the pastor.  This is a part-time, 20 hr/wk position.  Monday –Thursday 9AM to 2 PM.  There are no paid or accrued benefits.
 
Duties: 

  1. Work independently and be a self-starter
  2. Meet and greet all visitors to the office
  3. Be responsive and attentive to instructions given by the pastor, asking for clarification as needed.
  4. Protect the reputation of the church and staff through strict confidentiality
  5. Demonstrate a high level of trust
  6. Answer phones, forward calls or take messages as needed
  7. Gather needed information, carefully producing and proofreading a wide variety of reports
  8. Produce and print  the weekly church bulletin from information given by pastor, committees and congregants
  9. Notify committee chairpersons of any information that pertains to their committee and/or needs
  10. Pick up, distribute or sort mail as needed
  11. Maintain current membership data base
  12. Keep baptismal, confirmation and death records
  13. Maintain office equipment and keep maintenance/repair records
  14. Keep office supplies stocked and/or make purchases as needed
  15. Keep office clean and well organized
  16. Other duties as assigned by the pastor
 
Qualifications/Skills:
  1. Have a high school diploma or GED equivalent; 3 years experience in office/clerical functions; demonstrate proficiency in Microsoft Office Suite and other common computer programs
  2. Demonstrate proficiency in typing and Microsoft products, i.e.: Word, Power Point, Excel, Church Windows, and other multi-media computer applications
  3. Be able to navigate the internet to the best use of UMC web pages and research materials
  4. Present and maintain a respectful, discreet, sensitive and professional manner  to all who are to be helped or dealt with
