Media and Administrative Coordinator


The Media and Administrative Coordinator provides essential office-related support to the Senior Pastor(s), staff and church membership


The ideal candidate is a self-starter who takes initiative in problem-solving, organization and communication, and who possesses the following:

  • High School education or equivalent with additional training in Microsoft Office (Word, Excel,
  • PowerPoint, etc.) or comparable programming
  • Working Knowledge of internet and email
  • Familiarity with updating websites and social media management
  • Ability to operate standard office equipment
  • Ability to work with Shepherd’s Staff software as well as Planning Center applications and software
  • Strong organizational and time-management skills with the ability to multi-task
  • Active listening and assertive communication skills (for members, constituents and others who look to the church for help)
  • Ability to peaceably interact with all types of people
  • Willingness to be trained according to specific office requirements

Schedule and compensation:

Monday through Thursday (20 hours per week) - suggesting 9AM-2PM or 8AM-1PM. The day will include
open office hours of 9AM-12noon. Pay range $12-14/hr., commensurate with experience.


  • One week (20 hours) of paid time off
  • 7 paid holidays throughout the year

Duties and Responsibilities:

  • Act as the church office receptionist directing phone calls, appointments, and guests throughout the church
  • Prepare and print Sunday bulletins and accompanying inserts each week
  • Prepare and print requested materials (bulletins, emails, etc.) for special events, e.g. funerals, weddings, and baptisms
  • Update website on a weekly basis
  • Manage the church’s social media presence, including weekly posts to the church’s Facebook page
  • Schedule room requests and special events using scheduling software, and communicate these events to the appropriate parties
  • Utilize logos and church branding to produce promotional materials such as flyers, postcards, newsletters, etc. for special events as well as marketing and informational purposes
  • Maintain and update church databases
  • Coordinate, maintain and manage the church calendar
  • Coordinate volunteer office workers as needed
  • Prepare correspondence as directed by Pastor(s)
  • Ensure mail is distributed to proper person; outgoing mail is handled on a timely basis
  • Direct those seeking aid to the appropriate staff member or resource
  • Develop and maintain paper and electronic filing system of worship, Sunday School, and small group attendance as well as church membership
  • Maintain and update church membership book with help from volunteers
  • Prepare necessary year-end reports, Charge Conference reports and other reports as directed by the Pastor(s)
  • Maintain confidentiality of sensitive and proprietary information
  • Maintain and order office supplies as needed
  • Attend regular meetings with supervisor and monthly staff meetings
